When you contact us
If you fill in a form, tell us what you need, send a message or use the chat on our website, we keep what you send: usually your name, business, email or phone number and your message. We use it to reply, to send the plan or quote you asked for, and to look after you as a customer. Our lawful basis is taking steps at your request before a contract, and our legitimate interest in running the business.
If we emailed your business
We sometimes email established UK limited companies about our services, using business contact details the company publishes itself, for example on its own website, and company details from Companies House. We keep the company name, the published business email, the director's name from Companies House, notes about the company's public website and a record of what we sent and when. Our lawful basis is legitimate interests: telling businesses about services that may help them. Every email says who we are, and replying "stop" takes you off our list straight away. We do not send these emails to personal addresses or to sole traders.
Some of our emails include a link to a page prepared for your business. When that page is opened, we record that it was opened and when, so we know whether to follow up. If you reply, send your needs or message us from that page, we stop sending follow-up emails.
Customers' own systems
For customers, we build and host websites, booking, ordering and office systems. The information in those systems belongs to the customer and we process it only on their instructions, under our agreement with them.
Who we share it with
We do not sell personal information. We use a small number of service providers to run the business: hosting for our servers and email, our accounting software for invoices, and Google for the fonts on this website (your browser fetches them from Google, which sees your IP address). We only share what each needs to do its job. The chat on our website is answered by an AI service from Google (the Gemini API): what you type in the chat is sent to Google to write the reply, and may be processed outside the UK. On the service we use, Google may keep and review chat text to improve its products, so please do not put sensitive details, passwords or card numbers in the chat. A person at Micromart reads and follows up every enquiry.
How long we keep it
- Enquiries that do not become work: up to 2 years, then deleted.
- Our emails to businesses and any replies: up to 2 years after our last contact, or straight away removed from our list if you ask us to stop (we keep a short note so we never email you again).
- Customer records and invoices: 6 years after the end of the year they relate to, as UK tax rules require.
Cookies and browser storage
We do not use advertising or tracking cookies or analytics. Our website remembers the language you choose, and the chat keeps a session number in your browser so the conversation hangs together. Both stay on your device.
Your rights
You can ask for a copy of the personal information we hold about you, ask us to correct or delete it, object to how we use it (including our emails, at any time), or ask us to restrict it. Email mick@micromart.org and we will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put it right first.
